Attendance system

Article summary

Information that is important for processing attendance (i.e. arrival, departure, leave, etc.) is captured and subsequently processed in the system in this way:

1. Events

The basic part of the Attendance System is the Events Calendar. Each employee has their own personal calendar of events. Entries in the event calendar are differentiated by Event Type - vacation, illness, work meeting, language training, business trip, etc., and include the time period in which the event took place, may include a description of the venue, approval workflow, and other details.

2. Inputs

Inputs ensure the correct transmission and processing of data from attendance terminals. The actions provided by the attendance terminals are differentiated by Input Types. The basic types include, for example, arrival and departure actions. Each input type can be made available in the event calendar and the attendance terminal can be replaced in this way. Entries, i.e. entries from attendance terminals, are also displayed in the event calendar.

3. Mapping event/input types to payroll

The employee's attendance and report is processed in the so-called payroll folders. In the mapping of event/input types, we have the option to set under which payroll component the attendance record will be processed. Furthermore, we can have employees classified in the system in different groups (in sets of payroll components - daily regular attendance, shift work, freelancers, etc.). Thus, for each of these groups, one type of event/entry type (e.g. arrival) can be mapped to a different payroll component.

4. Data import (from XLS files or other data sources)

Used to process attendance manually - for example, employees who do not have access to a computer during their normal working hours and record attendance manually (workers). This is then processed by the supervisor into an XLS file and imported into the system.

5. Continuous attendance

Contains current attendance information and consolidates data from all sources.

6. Employee Attendance Report

Contains employee attendance for a calendar month. The data in the report is broken down by payroll component, including overtime, premium pay and other records displayed. The data can be edited before the report is closed. After the report is closed, attendance can be exported for processing in the payroll information system or the report can be printed for the employee's signature and archived.
