Overview Invoices received


Article summary

All received invoices in the application can be found in the overview of received invoices, form invoice_inc_list.aspx. In the basic setup, the list is displayed in the left menu Invoice approval > All invoices overview. At the top you will find an option to create a new invoice received New Document and options to export invoices received in the application to an .xlsx file, Reports > Export Items and Export Invoices.

You can filter by parameters in the overview:

  • Entity - according to the internal entity that is listed in the invoice as the customer.
  • Agenda - according to the agenda.
  • Document type - by document type.
  • Centre - by the centre that is listed in the invoice in the Customer section or in the Settlement section.
  • Date limit - according to the date set from - to and the value selection whether the range should include Issued or Paid or Due or Delivered.
  • Payment form - according to the selected payment form, which is in the Details section of the Received Invoice Detail.
  • VAT Group - according to the selected VAT Group, which is selected in the Details section in the Received Invoice Detail.
  • Purchase Group - according to the selected Purchase Group, which is selected in the Purchaser section in the Received Invoice Detail.
  • Order - according to the order.
  • Order number - by order number.
  • Document Status - according to the selected workflow status. To display the statuses, you must either select the agenda in the filter or have the default workflow set in the menu link settings.
  • Solver - the option will only display invoices received where the logged in user is the current solver in the workflow.
  • Invoice has passed status - option will extend the filtering by workflow status in a way where it will show not only invoices that are in the selected workflow status but also those that have ever passed that status.

You can also filter and sort the list of invoices received by columns:

  • Agenda - according to the agenda code.
  • Type - by type of invoice received.
  • Internal number - by the internal number of the invoice received.
  • Supplier - by the supplier listed on the invoice received.
  • Number - according to the supplier's ID number.
  • Invoice number - by the invoice number shown on the invoice received.
  • Variable symbol - by the variable symbol shown on the invoice received.
  • CURRENCY - according to the currency of the invoice received.
  • VAT-excluded amount - according to the VAT-excluded amount. Filtering supports characters > <.
  • Amount with VAT - by amount with VAT. Filtering supports characters > <.
  • Issued - by the date the invoice was issued. Filtering supports characters > <.
  • DUZP - by date of DUZP. Filtering supports characters > <.
  • Maturity - by the due date of the invoice received. Filtering supports characters > <.
  • Entity - by the internal entity to which the received invoice is issued.
  • Centre code - by the centre code specified in the invoice received.
  • Centre - by the name of the centre specified in the invoice received.
  • Description - according to the Document Description field in the Details section of the received invoice.
  • ID - by the ID of the invoice received. The ID is generated automatically by the application.
  • Solver - according to the current solver in the workflow.

To open the detail of an invoice received in the list, double-click anywhere in the row of the corresponding invoice or use the Magnifying glass option to the right of each invoice received in the list.
